Licenses - Initial vs Renewal

MemberTies is available in a standard (basic) and a professional version. The initial cost of each is different, but the cost to renew an existing license is the same for each. (A feature comparison of the two versions is available here.)

A license is valid for one year, after which it needs to be renewed. The renewal is steeply discounted from the initial purchase as shown below.

A standard license can be upgraded to a professional license at any time without affecting any of your data or settings.

Seats - How Many Users at a Time?

A new license includes a single seat, but you can add more to it. You will want enough seats to cover the number of people who will need to be logged in at the same time. In other words, we use a concurrent licensing model. So you could define 10 users, but if only 3 will ever need to use the system at once, a 3 seat license is all you need (the initial license plus 2 additional seats).

Cost per additional seat: $107

New seats can be added any time, but they don't change the expiry date on the license so it is best to order them when purchasing or renewing.

Hosting Services - Centralizing the Database

Database hosting is a separate service. i.e., everyone has a license, but not everyone uses hosting services.

When a database is hosted, it resides "in the cloud" in our data center. This means you can access the data from any installation of MemberTies, as long as you have an internet connection. This enables, for example, multiple club officers to access the same live data from different locations, or event check-in at offsite events, or staff members to do data-entry from home. It also has the added benefit of keeping the database secure (for example, if the club laptop were to be stolen). Read more about database hosting here.

Hosting can be purchased monthly, but it is more cost effective to purchase a year at a time to save a little more than a month

Cost per year: $259 (the first year also requires a $35 one-time setup fee)

An optional daily backup service is also available for an additional $5/month. With this service, we keep daily, weekly, and monthly rotating backups of your entire database.
